Information on the Processing of Personal Data
Our company, GUARANT International spol. s r.o., Company ID No. 45245401, with its registered office at Českomoravská 2510/19, 190 00 Prague 9, registered in the Commercial Register maintained by the Municipal Court in Prague under file No. C 7144, has long been engaged in the organisation of congresses, conferences and other social events. As part of this activity, personal data of participants and other natural persons are naturally processed.
Below you will find detailed information on the processing of personal data by our company, in particular:
- what personal data our company processes
- for what purpose it does so
- what rights you have as a data subject and how you may exercise these rights
Registration and participation in an event
If you have completed a registration form for a specific event organised and/or administratively arranged by our company, by submitting the registration form you provided us with your personal data to the extent completed in the form (in particular salutation, titles before and after your name, first name, surname, organisation, possibly department, residential address, e-mail address, and possibly billing address, company ID/VAT ID). The scope of personal data may vary for each specific event. The registration form is decisive.
If you registered for a specific event by telephone, the scope of personal data corresponds to the personal data provided by telephone.
The purpose of processing your personal data is to ensure your participation in the specific event by our company, including all related activities (e.g. preparation of a name badge, reservation of a seat, etc.). At the same time, these data are used for the billing of our services after the event has ended.
The legal basis for the processing is the performance of the contract you enter into with our company. We process your personal data for this purpose for the duration of the relevant event and then archive it for the period stipulated by the applicable legal regulations (the Accounting Act, tax legislation).
Our company cooperates in the preparation of events with other entities, so-called expert guarantors (e.g. associations, professional societies, organisations, etc.). The identity of the controller and its contact details are always provided directly in the registration form. If you require this information, we will be pleased to provide it upon request at info@guarant.cz.
Membership verification
For certain events, it may be necessary to verify the validity of your membership in a professional association or another organisation involved in the event. For this purpose, our company, as a controller or as a processor for the controller – the event organiser, will process your personal data entered during registration. As part of this processing, we will contact the relevant organisation to confirm your membership.
This processing is carried out on the basis of the legitimate interest of the controller in verifying the validity of your membership. Without such verification, we cannot register you and/or will not be able to provide you with any membership-related benefits within the event.
Verification of conditions for granting a registration benefit
If you apply for a reduced registration fee or another benefit conditional upon your age or another attribute, our company will need to verify that the relevant condition has been met before granting the benefit. In this regard, it may require you to provide a copy of your identity document.
Our company will use the copy of the document solely for the purpose of verifying that the condition has been met and granting the benefit. After verification of fulfilment of the condition, the copy of your identity document will be deleted. The legal basis for the processing is the legitimate interest of the controller.
Work with abstracts or other works within the event’s scientific programme
If you have provided the controller with your abstract or another work intended for evaluation and/or inclusion in the scientific programme of the event, the controller will process your personal data provided in the electronic form. You will be informed by the controller whether your work has or has not been included.
In the event of subsequent publication of your work, the controller will also publish your first name and surname, or title, as applicable, for the purpose of identifying you as the author of the work.
If you have also given consent to the publication of your e-mail address, the controller will publish it together with your abstract. This consent is voluntary and you have the right to withdraw it at info@guarant.cz.
Publication in the event participant list
If you have granted the controller your consent to be included in the event participant list, the controller will process your personal data to the extent specified in the consent. The basis for this processing is the consent granted by you.
This consent is voluntary and you have the right to withdraw it at info@guarant.cz. Please note that once your personal data have been included in a printed list, it is not possible for the controller to remove your personal data from the printed materials.
Audiovisual recording of the event and capturing participants’ likenesses
Considering that each participant expressly granted consent to the matters described below as part of their registration, the event organiser may, without the need for any further consent from delegates, use and publish photographs and video recordings taken during the congress in congress reports and/or in future marketing materials.
The event takes place in a public space, and participants, exhibitors, sponsors and media representatives are permitted to take photographs, video recordings or audio recordings of certain congress activities. The organiser reserves the right to use photographs taken at the event on social media and/or in future marketing materials.
Content, graphic representations, audio recordings, video sequences and texts published on websites by GUARANT International spol. s r.o. are subject to copyright. Distribution or reproduction without the express consent of the author is not permitted.
Additional services provided in connection with the event
If, in addition to registration for the event, you have ordered other services from our company (e.g. accommodation, transport, etc.), we will also process your personal data for the purpose of arranging the specific requested service.
Our company arranges these services only organisationally and cooperates with other entities that provide the service (hotels, transport companies, etc.). For the purpose of providing the specific service, your personal data will be transferred to a specific recipient – the service provider.
For this processing, our company is the controller.
Newsletter distribution
If you have subscribed to newsletters, we will send you newsletters containing information about events organised by our company or services offered to you by our company.
For the purpose of sending newsletters, our company, as the controller, will process your first name, surname, e-mail address and, where applicable, information about the entity where you work professionally.
The legal basis for the processing is the consent you have granted to our company. This consent is voluntary and you have the right to withdraw it at any time at info@guarant.cz.
General conditions for the processing of personal data
For all of the above purposes, the following applies:
- we protect your personal data to prevent their unauthorised use or disclosure to unauthorised persons
- we do not publish your personal data unless we have your consent to do so
- for the processing of your personal data, we use the services of processors – providers of IT systems and servers. Further information may be provided upon your request.
Your rights in relation to the processing of personal data
Right of access to your personal data
You have the right to obtain information as to whether or not we process your personal data. If processing takes place, you also have the right to access your personal data and information about the processing.
If you request it, our company will provide you with a copy of the personal data being processed. For additional copies, our company may charge a fee based on administrative costs; you will be informed of the amount in advance.
Right to rectification of your personal data
Our company processes personal data in good faith that the data are accurate and up to date. If we process inaccurate or incomplete personal data about you, you have the right to request that we correct or complete such data.
Right to erasure of your personal data
You have the so-called “right to be forgotten”, i.e. the right to erasure of your personal data, in cases where:
- your personal data are no longer necessary for the purposes for which they were collected
- you withdraw the consent on the basis of which your data were processed and there is no other legal ground for processing
- you object to the processing and there are no overriding legitimate grounds
- your personal data have been unlawfully processed
- your personal data must be erased for compliance with a legal obligation
Please note that there are situations in which this right does not apply to you, in particular where the processing is necessary for the establishment, exercise or defence of legal claims. An overview of exceptions is contained in Article 15(3) GDPR.
Right to restriction of processing of your personal data
You have the right to restriction of processing of your personal data in cases where:
- you contest the accuracy of your personal data – our company will restrict the processing for the period necessary to verify their accuracy
- the processing is unlawful, but you request restriction of their use instead of erasure
- our company no longer needs your personal data, but you request them for the establishment, exercise or defence of legal claims
- you object to the processing – the processing will be restricted pending verification whether our legitimate grounds override your interests
Before resuming the processing of your personal data, we will inform you in advance.
Right to data portability
You have the right to obtain your personal data in a structured, commonly used and machine-readable format in cases where our company processes, by automated means, personal data that you have provided to us yourself and the processing is based on your consent or on the performance of a contract.
You also have the right to transmit these personal data to another controller. If technically feasible and if you request it, our company will transmit your personal data directly to the controller designated by you.
Right to object
You have the right to object if we process your personal data on the basis of legitimate interest or in the public interest. In the event of your objection, we will not process your personal data unless we have compelling legitimate grounds for such processing that override your interests.
Where we process your personal data for direct marketing purposes, you may object at any time. On the basis of such objection, we will no longer process your personal data for these purposes.
Right to lodge a complaint with a supervisory authority
In matters concerning the processing of your personal data, you may contact the competent supervisory authority in an EU Member State. In the Czech Republic, this authority is the Office for Personal Data Protection. More information is available at www.uoou.cz.
Exercising your rights in relation to the processing of personal data
As a data subject, you have various rights arising in particular from Articles 15 to 22 of the General Data Protection Regulation (GDPR). In general, the following applies to the exercise of your rights:
- you may exercise your rights against the personal data controller – in most cases, our company acts as the controller
- before handling your request, we may need to verify your identity to prevent the provision of personal data to an unauthorised person
- we will respond to your request no later than within 1 month of receipt of the request; where necessary, this period may be extended by a further two months
- we respond to requests primarily electronically via e-mail communication
- all communications and actions under Articles 15 to 22 GDPR are generally provided free of charge; in the case of manifestly unfounded or repeated requests, we are entitled to charge a reasonable fee
