ECAS 2025 transformed Prague in June 2025 into a four-day hub of global scientific and cultural dialogue. The theme “African, Afropolitan, and Afropean Belongings and Identities” opened up discussions on complex identities across history and the present. The conference was held in Central Europe for the first time and also marked 20 years of ECAS tradition — an event that, since its beginnings in London in 2005, has grown into the most significant European gathering in African Studies, attracting hundreds of scholars and students from around the world.

The greatest challenge and opportunity of this year’s edition was the coordination of five different conference venues in Prague, comprising a total of 43 parallel halls. This required careful planning and perfect synchronization, while at the same time allowing participants to experience Prague not only as the backdrop of the event but as a living and active part of the entire happening.

The organization of the congress was technically very demanding – it required ensuring the flawless operation of equipment in all meeting rooms across all conference venues. The support also included a mobile application downloaded by 532 users, which served for program navigation and participant data management.

A total of 1,454 contributions were accepted. The program of academic lectures and sessions was enriched by a diverse cultural and social component – exhibitions, fashion shows, and film screenings – which required close cooperation with numerous partners and suppliers.

Our project team implemented the following measures, which contributed to the successful execution of the congress:

Planned in detail the schedule for all five conference locations and 43 halls, including time blocks for parallel sessions and coordination of breaks between individual blocks.

Provided technical support for the mobile application and the submission management system, including the evaluation of submissions, their inclusion in the program, and the availability of information for participants in real time.

Coordinated the cultural and social program, including exhibitions, fashion shows, and film screenings, and ensured the necessary spaces, equipment, and collaboration with local institutions and artists.

Organized catering and meals, including coffee breaks, lunches, and receptions, taking into account the logistics of individual venues and participants’ needs.

Managed registration and participant arrivals, provided information desks and support throughout the congress, ensuring smooth movement between halls and accompanying programs without complications.

Secured material and technical equipment, including audiovisual technology, internet connection, and other support services, to ensure all sessions ran smoothly.

 

RESULT

Thanks to effective management and collaboration, ECAS 2025 confirmed that Prague is capable of hosting a top-tier international scientific event while simultaneously offering an environment where academic debate is intertwined with cultural and social contexts.

A total of 1,383 participants from 64 countries attended the five Prague venues, engaging in more than 230 panels with 1,454 presentations spread across 43 parallel rooms. 532 participants successfully downloaded and actively used the mobile application for interactive participation. The conference also provided space for 23 exhibitors from publishing houses.

This congress format naturally involved participants in the life of the city and demonstrated a new, inspiring way to organize international conferences in Europe.
